Purpose of the Privacy Policy

HIGASHIYAMA Shiki Kaboku (hereinafter referred to as “the Hotel”) recognizes that personal information relating to its customers and our employees (hereinafter referred to as “personal information”) are essential information asserts and also recognized that ensure protection of these personal information are important social responsibility of the Hotel.
The Hotel promises handling personal information in accordance with following policy to provide “Sense of Security” to our customers and employees and will sincerely fulfill our corporate social responsibility.

Policy

1. In regard to acquisition, access, and supply of personal information

The Hotel will only acquire personal information by legitimate and ethical means.

(1) The Hotel will not conduct unintended use

We will use the personal information we acquire only for the achievement of purpose in necessary for the use of personal information.
We will take necessary preventive measures.
In the case of necessity of conducting unintended use, except following cases from (a)~(d), we will only use that information with permission for new purposes of use.
We will not provide an individual’s personal information for third party without that individual’s prior consent except following cases (a) ~(d).

(a) Cases in which the handling of personal information is based on laws and regulations.
(b) Cases in which the provision of personal data is necessary for the protection of the life, body, or property of an individual and in which it is difficult to obtain the consent of the applicant

(c) Cases in which the handling of personal information is especially necessary for improving public hygiene or promoting the sound growth of children and in which it is difficult to obtain the consent of the applicant.
(d) Cases in which the providing personal information is necessary for cooperating with a national authority, a local government, or an individual or a business operator entrusted by either of the former two in executing the affairs prescribed by laws and regulations and in which obtaining the consent of the applicant is likely to impede the execution of the affairs concerned.

(2) The Hotel will obtain individual’s consent for providing personal information for third parties.

Except following cases (a)~(d), we will obtain individual’s consent for providing personal information for third parties.

(a) Cases in which the handling of personal information is based on laws and regulations.
(b) Cases in which disclosing of personal information for contractor which entered into a confidentiality contract, incorporated education institution and public interested corporation.
(c) Cases in which delegating assignment of personal information to third party (including corporate group).

2. In regard to safety management of personal information

The Hotel will implement appropriate measures for the computers, networks and facilities in order to prevent leakage.
The Hotel will make efforts to prevent leakage, damage, and defamation of personal information in case of natural disaster and communication failure, meanwhile we will also conduct to have back up of personal information as a precaution.
The Hotel will conduct a periodic inspection and if any violation, matter or accident were found, they will promptly correct these and take precautionary measures for weakness.

3. In regard to Complaint and consultation

The Hotel will respond to all inquiries in an expeditious manner.
